Knowledge management and a knowledge management system are not the same thing

Knowledge management is the business process: capturing, storing, sharing, and maintaining what your organization collectively knows, whether that knowledge is explicit, tacit, or implicit. The knowledge management system is the IT system that process runs on.

What is a knowledge management system in simple terms?

It is the software that holds your organization’s answers and delivers the right one to the right person at the right moment. Content goes in through authoring and connectors, governance keeps it accurate, and search, AI, and guidance get it back out to agents, customers, and AI agents.

What is the difference between a knowledge management system and a knowledge base?

A knowledge base is the repository of articles. A knowledge management system is the whole apparatus around it: authoring workflows, approvals, profiled access, multiple search methods, conversational and process guidance, analytics, and connectors. The knowledge base is one component of the system.

Is SharePoint a knowledge management system?

SharePoint is a strong document store and intranet platform, but storing content is not the same as managing knowledge. It generally lacks profiled content access, guided search, conversational guidance, and knowledge analytics. Many organizations keep SharePoint as a source and federate it into a KMS rather than replacing it. Read the full comparison.

Do I still need a knowledge management system if I have generative AI?

More than before. Generative AI answers from whatever content it is given, so ungoverned content produces confident wrong answers. The KMS supplies verified content, citations, permissions, and the audit trail. Gartner’s 2026 research frames the market as shifting from passive repositories to the reasoning layer underneath enterprise AI.
